Email leads from your own mailbox

Each salesperson sends from their own work address, so replies come straight back to them — and every email is logged on the lead.

One-time setup (admin)

Open Email Settings and enter your company's mail server. Type your email domain and Telemantix fills in known providers (Zoho, Titan, Hostinger, Google Workspace, Microsoft 365) for you.

Optionally add the IMAP server so a copy of each email is saved to the sender's Sent folder.

Save. Your team can now connect their own mailboxes.

Connect your mailbox

Each person goes to Profile → My email, enters their work email and its password, and clicks Connect email. Telemantix signs in to the mail server to check it before saving, and stores the password encrypted. Only you can send from your mailbox. You can also add an email signature there.

Note: “Connect Google” and “Connect Microsoft” buttons are coming soon — they'll replace passwords for Gmail and Microsoft 365 accounts.

Send an email

Open a lead and, in its Emails section, click New email.

Write your message (or insert a template) and add attachments if needed. Attachments are sent, not stored in Telemantix.

Optionally move the lead to a new stage and schedule a follow-up in the same window.

Send. The email goes from your address and appears on the lead's activity.

Replies arrive in your normal mailbox (Gmail, Zoho, Outlook…), not in Telemantix.

Templates

Managers and admins can save reusable email templates — a quotation cover note, a meeting confirmation — so the whole team writes consistently. Pick one from Insert a template in the email window.

Provider notes

Zoho MailIf 2-step login is on, use a Zoho app-specific password.
Titan (GoDaddy, Hostinger)Use your normal mailbox password.
Gmail / Google WorkspaceNeeds an app password (2-step verification must be on) until “Connect Google” is available.
Microsoft 365 / OutlookMicrosoft blocks password sign-in on most business accounts — wait for “Connect Microsoft” or ask your IT admin to allow SMTP sign-in.

Common issues

“Could not sign in to your mailbox”

Check the password (or app password). If it worked before, the password may have changed — reconnect in Profile → My email.

“The mail server's certificate is not trusted”

Your admin can check the server name in Email Settings; hosting panels sometimes use their own name (e.g. mail.yourhost.com).

Emails aren't in my Sent folder

Ask your admin to add the IMAP server in Email Settings.
