How rules work
A rule is when (a trigger) + only if (optional conditions) + then (one or more actions). Create rules in Automation → New rule; switch any rule on or off without deleting it.
Note: Automation rules are included in the Pro and Enterprise plans. Existing rules keep running if a plan changes; creating or editing needs a plan that includes them.
Triggers
Lead createdA new lead arrives from any source.
Lead stage changedA lead moves to a different pipeline stage.
Follow-up overdueA follow-up passes its time without being done.
Lead assignedA lead gets a new owner.
No response in N daysAn open lead has had no activity for the number of days you set (checked hourly).
WhatsApp reply receivedThe lead replies on WhatsApp.
Lead score thresholdA lead's score crosses the value you set.
Conditions
Narrow a rule down by source, stage, score, assignee or whether the lead is stale. All conditions must match for the actions to run.
Actions
Send WhatsApp templateSend an approved template (skipped for people who opted out).
Assign to userA specific person, round-robin, or load-balanced to whoever has the fewest open leads.
Create follow-upSchedule the next call, WhatsApp, email or meeting.
Create taskAdd a to-do for the owner.
Change stageMove the lead in the pipeline.
Send emailEmail the lead through your workspace email provider.
Notify userSend an in-app alert to a teammate.
Call a webhook / APISend the lead's details to another system (your ERP, Zapier, Make, a Google Sheet script).

Instant welcome: Lead created, source is Meta Ads → Send WhatsApp template “welcome”, Assign load-balanced.

Escalate slips: Follow-up overdue → Notify the sales manager.

Revive quiet leads: No response in 3 days → Send WhatsApp template “still interested?” and Create follow-up tomorrow.

Hand-off to operations: Stage changed to Signed → Call a webhook to your onboarding system.
For everyday assignment you may not need a rule at all — Settings → Lead Assignment already covers every source.
