WhatsApp bot flows

A bot answers every new WhatsApp chat in seconds — day or night — asks your qualifying questions, and passes the lead to a person with the answers already saved.

Start from a template

Open Bot Flows → New flow and pick a starting point: Lead qualification, Customer support, Appointment request or Start from scratch. Templates use your workspace name automatically — edit every message to sound like you.

The builder has three panes: the list of steps on the left, the selected step in the middle and a live WhatsApp preview on the right. Reorder steps with the arrows; the first step (marked as the entry step) is what a new chat sees.

Step types

MessageSends text, then moves to the next step.
MenuOffers choices. Up to 3 show as WhatsApp reply buttons, up to 10 as a list; each choice can go to a different step. Customers can tap, or type the option number or its text.
QuestionAsks for an answer and checks it: any text, a name, an email, a phone number or a number.
Hand-offPasses the chat to your team with a message like “Connecting you to our team”.
EndCloses the conversation politely.

The builder warns you about steps that link to nothing or questions without a field to save into, and won't let you switch on a flow with problems.

Saving answers

Each question saves its answer under a field name you choose (for example city or budget). When the flow finishes or hands off, the answers are written to the lead's activity. If the person wasn't a lead yet, a lead is created from the chat and assigned by your lead-assignment setting.

Handing over to a person

A chat goes to your team when it reaches a Hand-off step, when the customer types an agent keyword (by default “agent”, “human”, “talk to agent”, “speak to someone”), or after too many invalid answers in a row. The owner of the lead is notified, and the bot stays quiet in that chat while your team is talking.

Bot settings

Start onEvery new chat, or only when the message contains one of your keywords (e.g. “price”, “demo”).
Restart afterHow long a chat must be quiet before the bot greets that person again (default 24 hours). The bot also stays quiet after your team or a campaign has messaged them.
Retries before hand-offHow many invalid answers to allow before passing to a person (default 3).
Agent keywordsWords that skip the bot and go straight to your team.

Test and switch on

Use the WhatsApp preview on the right to chat with your flow exactly as a customer would — nothing is sent to real numbers.

Switch the flow on. WhatsApp must be connected first.
Note: One bot is live per workspace: switching a flow on switches any other flow off. Use Duplicate to try changes on a copy.

Common issues

The bot doesn't reply

Check the flow is switched on, WhatsApp shows Connected in Integrations, and — if you use keyword start — that the message contains one of the keywords.

The bot replied while my agent was chatting

The bot stays quiet after your team replies. If an agent only read the chat without replying, the bot may still answer — reply or hand off first.
